At a glance

  • Seven days before departure, check your passport, flights, hotel, travel insurance, and cancellation terms. Save names, terminals, check-in deadlines, and your hotel address, including the address in Japanese or another local format.
  • Three days before departure, check the weather, venue closures, and transit construction, then adjust outdoor and nearby-trip plans. Check the official forecast for the times you’ll be out, along with heat, heavy rain, and snow alerts, rather than relying on historical average temperatures.
  • The day before departure, check your eSIM, roaming, or Wi-Fi settings, offline maps, reservation QR codes, and backup payment options. You should still be able to reach your hotel and the airport if your phone runs out of power.
  • Pack items that keep your plans on track first, such as shoes, outerwear, medication, adapters, and a power bank. Check official guidance for airline and entry rules on liquids, batteries, and medication.

How to fit it in

The goal of a pre-departure checklist isn’t to eliminate every risk. It’s to make sure you can still reach your hotel and the airport and get help if your phone, transportation, or a reservation fails. Keep documents and payment methods in two separate places.

Reality check

Transport

Save screenshots of your airport trips, your route to the hotel on the first day, key trips for each date, and the last train. If live search isn’t available, keep station names, line symbols, exits, and your hotel address on paper or a separate device.

Time

Break up your checks: for example, 60 minutes at 7 days out, 45 minutes at 3 days, and 30 minutes the day before. On departure day, add time for delays, baggage, and terminal transfers to the usual airport travel time.

Cost

Check connectivity, insurance, transit reservations, baggage, and emergency cash, and remove duplicate purchases. Cancel unneeded reservations before their free-cancellation deadlines. Don’t replace an existing nonrefundable booking just because the price changed.

Safety

Store a copy of your passport, insurance details, emergency contacts, and medication information securely, but don’t put them in a public cloud link. During an earthquake, heavy rain, or other emergency, follow Japanese authorities and on-site instructions instead of your sightseeing plans.

If plans change

If the weather worsens just before departure

Check the official change policies for your airline, insurance, and hotel, and cancel nearby-trip or outdoor reservations first. Don’t ignore safety notices to stick to your plans.

If connectivity setup fails

Use official Wi-Fi at the airport or hotel and your offline documents to get where you need to go. Contact your provider over a secure network. Don’t make payments over an unfamiliar free network.

Small tip

Don’t install a lot of new apps. Sign in to the airline, rail, map, connectivity, and insurance apps you’ll actually use, and check that they open offline. Make sure you can receive two-factor authentication codes while abroad.

Final check before departure

  • Save passport, flight, hotel, and insurance details offline, including local-language information
  • Recheck the latest weather, transit, venue, and airport terminal information
  • Prepare separate backups for connectivity, payments, maps, and emergency contacts

Entry requirements, flights, weather, transit, and venue conditions can change before departure. Recheck the latest notices from the relevant operators and the Japanese government; don’t rely on numbers in an outdated checklist.
